The privacy and security of your personal information is very important to Max Planck BioImaging. This privacy policy explains how and why your personal data is used, and what is done to make sure you can be confident about giving Max Planck BioImaging your information.
Max Planck BioImaging will only use your personal data on relevant lawful grounds as permitted by the European Union (EU) General Data Protection Regulation (Regulation (EU) 2016/679 (GDPR) and the Federal Data Protection Act (BDSG). Max Planck BioImaging will never use your personal data commercially and will only share it with third parties that Max Planck BioImaging works with, when such sharing is necessary and permitted, and always assuring the privacy and security of your data.

To whom and what does this policy apply to
This policy applies to the operations of the Max Planck BioImaging infrastructure, and the Max Planck BioImaging homepage and all its sub-pages This policy applies whether you are a registered member, user of any Max Planck BioImaging services, an external reviewer for Max Planck BioImaging, or if you just visit the Max Planck BioImaging Homepage, or email, call or write to Max Planck BioImaging.
Which personal data does Max Planck BioImaging collect and why
Max Planck BioImaging collects personal data (information which identifies you, or which can be identified as relating to you personally) which is necessary to operate the service. Sensitive or specially protected personal data is not collected.
Personal data (for instance name, contact information and professional affiliation) is collected when participating in surveys, and may be collected in connection with specific activities, such as when applying for conferences or training courses (for instance research history and biography). Only personal data supplied to Max Planck BioImaging directly by you is collected – personal data is not collected from other sources.
Max Planck BioImaging collects personal data based on your consent according to Art. 6 para 1 lit. a GDPR and based on legitimate interest as defined Art. 6 para 1 lit. f GDPR. This legitimate interest is to manage and run the Max Planck BioImaging infrastructure.
From where does Max Planck BioImaging collect personal data
Max Planck BioImaging collects personal data mostly through integrated online surveys on the Max Planck BioImaging homepage, from where the data is directly saved in databases.
Max Planck BioImaging does not collect personal information from emails or other sources, unless specifically mentioned.
How does Max Planck BioImaging store your personal data and keep it safe
Your personal data is stored mainly in the primary Max Planck BioImaging database, which is located on a server of the GWDG, a processor of the MPG according to Art. 28 GDPR. The database is highly secure with direct access possible only by authorized Max Planck and GWDG Staff.
Everyone in Max Planck BioImaging who can access your personal data in any situation (see “Who gets to see your personal data” below) has been instructed to take care of such data with appropriate confidentiality and security measures, and there are procedures in place within the infrastructure for reporting any unusual activity related to personal data, such as possible security breaches.
How does Max Planck BioImaging use your personal data
How Max Planck BioImaging uses your personal data depends on the nature of your relationship with Max Planck BioImaging. Your personal data might be used for the following purposes based on your individual consent, which can be withdrawn at any time with future effect:
- Administering your Max Planck BioImaging user account, including ensuring the security of the Max Planck BioImaging Homepage and services, and communicating with you as required.
- Facilitate that other member, or internal or external stakeholder can get it touch with you, managing your attendance to Max Planck BioImaging training courses, events, conferences and meetings, including for instance communication with you regarding confirmation of registration, clarifying further details, or resolving any issues with your participation.
- Sending you additional information on Max Planck BioImaging and its services, such as a regular email newsletter, occasional questionnaires or surveys, information from the Max Planck BioImaging Strategy Board, or occasional other information.
Max Planck BioImaging will primarily communicate with you by email, but in some cases also phone calls or regular mail may be used. When you register for the first time, your permission for being contacted in different ways is asked. You may change these settings at any time. Please note that if you do not give Max Planck BioImaging permission to contact you, especially by email, most Max Planck BioImaging services will not be available to you. However, you may separately choose for instance not to receive the newsletter or other similar emails, but allow email communication necessary for applying to access Max Planck BioImaging training services.
Based on legitimate interest, Max Planck BioImaging collects information to monitor and develop its training offers, actions and meetings. Whenever possible, personal data will be anonymized or pseudonymized.
Changes to this policy
This Privacy Policy may be updated from time to time. After each update, the new version will be published on the Max Planck BioImaging Homepage and actively communicated to the members. You may be notified of changes to this policy in the News section of the Max Planck BioImaging Homepage, or by email.

Your further rights
You have the right to obtain information on the data stored about you by MPG, the right to demand correction in the event of incorrect data or deletion in the event of unauthorized data storage, and the right to data transfer. You also have the right to appeal to the supervisory authority. For the MPG, this is the Bavarian State Office for Data Protection Supervision, Postfach 606, 91511 Ansbach.
